FIRST PHASE – PREPARATION

PRE-LAUNCH MEETING

We start by discussing your survey objectives, providing our recommendations on the process, and determine the degree of AI or dedicated HR consultant support needed or desired.

ADVICE ON YOUR COMMUNICATION STRATEGY

We will help you in announcing the survey, encouraging participation, and communicating the results.

ADVICE ON ANALYSIS

Based on your survey objectives and best practices, we work with you in determining the most appropriate and helpful analytical and reporting methods.

DEVELOPMENT OF THE SURVEY

Based on your survey objectives and our experience we will design the survey using our historical database of questions and any custom questions and areas of inquiry you may wish to add that reflect your unique situation.

SECOND PHASE – LAUNCH & ADMINISTRATION

EMPLOYEE NOTIFICATION & COMMUNICATION

Where possible, and to provide the greatest level of anonymity, the survey invitation to each participant would be delivered directly from us by email ,and would contain each participant’s personal and unique link to the survey. (Where this is not feasible other delivery methods are available.)

NOTIFICATION OF ANY "UNDELIVERABLE" EMAIL ADDRESSES

We keep you apprised of any delivery errors, (“bouncebacks” or “undeliverables”), and provide the opportunity to correct these so that we can resend the invitation.

ADMINISTRATION OF THE WEB-BASED SURVEY

The survey application is hosted on our own dedicated server and linked to the survey over a secure (SSL/HTTPS) connection. Canadian clients and others will benefit from the fact that we are fully FOIPOP/FIPPA and PIPEDA compliant. Details on our "Security and Privacy Policy" are available in the footer below.

PROGRESS REPORTS / COMPLETION RATES / REMINDERS

We provide real-time completion rates whenever you would like them – both overall, and by sub-group so that you can take action on prompting individual groups.. We can also extend the survey close date as needed to bring in a few more responses. Finally, we can send out reminders to those who have not completed if this is part of the communication plan.

THIRD PHASE – ANALYSIS & REPORTING

FINAL SURVEY REPORT

Provided in Microsoft PowerPoint™ and printed to PDF.

BREAKDOWNS BY SUBGROUP

We provide one breakdown by subgroup as part of the base package. Examples would be Department, Position, Location, Years of Service, “Generation” … or anything that would not compromise confidentiality.

YEAR-ON-YEAR COMPARISONS

Year-on-year reports are part of the base package for recurring customers, and are based on the current vs. one-previous review.

REPORT ON VERBATIM COMMENTS

The raw verbatim comments would be provided to you in Word, PDF and/or any other format you would prefer., de-linked from the participants for the sake of anonymity.

REGRESSIONS AND CORRELATIONS

If the data supports it, we will run high-level statistics in the way of correlations between items, and regressions on the outcome items (Engagement Score or ENPS) to determine which factors are having the most influence on these scores.

PRESENTATION OF THE RESULTS TO THE LEADERSHIP OR MANAGEMENT TEAM

In person (travel expenses may apply for meetings outside the GVRD), or over a conference call or Zoom or Teams session.

We can provide additional breakouts beyond the one included in the base Package. As above these might be Department, Position, Location, Years of Service, “Generation” … or anything that would not compromise confidentiality.

DEPARTMENT REPORTS

Summary of results for each organizational unit vs. the organization as a whole. A quick review at-a-glance.

MULTI-LANGUAGE SURVEYS

For both surveys and invitation emails, we can send an appropriate language version (ex. “English/French” or “English/Spanish”) to each participant where this is known beforehand, and/or allow each participant to choose preferred language at the start of the questionnaire.

SEPARATE MANAGEMENT / EMPLOYEE QUESTIONS

We can modify the survey to display questions differently for Management and Employees; for example by asking “As a manager …” rather than “My manager …” where applicable.

IN-DEPTH STATISTICAL ANALYSES

These can include correlations, regressions, factor analysis (aka. “variable reduction”), etc.

TEXT ANALYSES/ THEMATIC ANALYSIS

Detailed thematic analysis of the verbatim comments performed using our expertise and the appropriate AI tools. Ask us for further details.

MULTI-YEAR ANALYSIS (BEYOND 2 YEARS)

Assuming that we either have or you can provide us with 3 or more years of data.

Questions beyond the 50 provided for in the basic package and added to the questionnaire as requested or advised.

PAPER SURVEYS

Yes we do paper surveys. We can also do the data entry, or if it doesn't compromise security, you can arrange for this yourself and provide us with the final dataset.
