First Phase – Preparation

PRE-LAUNCH MEETING

Over the phone or in person where we will discuss your survey objectives in depth, answer any questions you have, and provide our recommendations.

ADVICE ON YOUR COMMUNICATION STRATEGY

We will help you in announcing the survey, encouraging participation, and communicating the results.

ADVICE ON ANALYSIS

Based on your survey objectives and best practices, we work with you in determining the most appropriate and helpful analytical and reporting methods.

DEVELOPMENT OF THE SURVEY

Based on your objectives we will design the survey using our database of pre-constructed questions and advise on any custom questions you may wish to add in to reflect your unique situation.

Second Phase – Launch & Administration

EMPLOYEE NOTIFICATION & COMMUNICATION

Where possible, and to provide the greatest level of anonymity, the survey invitation to each participant would come directly from us and would contain their own personal and unique link to the survey.

NOTIFICATION OF ANY "UNDELIVERABLE" EMAIL ADDRESSES

We keep you apprised of any email delivery errors, (“bouncebacks” or “undeliverables”), and provide you with the opportunity to correct so that we can resend the invitation.

ADMINISTRATION OF THE WEB-BASED SURVEY

Which is hosted on our own dedicated server and linked to the survey over a secure (SSL/HTTPS) connection. (Note that we are also fully FOIPOP/FIPPA compliant.)

PROGRESS UPDATES / COMPLETION RATES

Real time updates of performance and completion rates whenever you want them – both overall and by any sub-group (where confidentiality is not compromised).

Third Phase – Analysis & Reporting

AGGREGATE STATISTICAL REPORTS

Frequencies and cross-tabulations in Excel.

REPORT OF VERBATIM COMMENTS

Comments de-linked from the participants for anonymity.

YEAR-ON-YEAR COMPARISONS

Year-on-year reports are part of the basic package for recurring customers and are based on the current vs. one-previous review.  (example multi-year, multi-department report)

BREAKDOWNS BY SUBGROUP

We provide one breakdown by subgroup as part of the basic package. Examples would be Department, Position, Location, Years of Service, “Generation” … or anything that you’d like that would not compromise confidentiality.

FINAL SURVEY REPORT

in Microsoft PowerPoint™ and printed to PDF.

PRESENTATION OF THE RESULTS TO THE LEADERSHIP OR MANAGEMENT TEAM

In person (travel expenses may apply for meetings outside the GVRD), or over a conference call or Skype session.

RECOMMENDATIONS FOR ACTION

Based on your survey results and our experience with other organizations.

Options & Addons

DASHBOARD REPORTS

Summary of results for each organizational unit vs. the organization as a whole. A quick review at-a-glance. (example by department)

ADDITIONAL QUESTIONS

Questions beyond the 50 provided for in the basic package and added to the questionnaire as requested or advised.

MULTI-YEAR ANALYSIS (BEYOND 2 YEARS)

Assuming that we either have or you can provide us with 3 or more years of data.

ADDITIONAL BREAKDOWNS BY SUB-GROUPS

We can provide additional breakdowns beyond the one sub-group included in the Basic Package (where it does not compromise anonymity).

SEPARATE MANAGEMENT / EMPLOYEE QUESTIONS

We can modify the survey to display questions differently for Management and Employees; for example by asking “As a manager …” rather than “My manager …” where applicable.

IN-DEPTH STATISTICAL ANALYSES

These can include correlations, regressions, factor analysis (aka. “variable reduction”), etc.

TEXT ANALYSES

We can analyze verbatim comments for themes, parsing them into categories to produce simple frequency reports or correlation with other criteria (ex. department or location).

MULTI-LANGUAGE SURVEYS

Surveys and emails – ex. “English/French” or “English/Chinese”. We can send an appropriate language version to each participant, and/or allow each participant to make the choice of language in the questionnaire itself.

EMPLOYEE COMMUNICATION

We can develop a communication strategy to roll-out employee engagement survey results throughout your organization.

FOCUS GROUPS

Employee focus groups are a way to obtain qualitative information. They are often used after an employee survey to dig deeper into employee perceptions.

ACTION PLANNING

We help client teams develop action plans to respond to employee survey results.

TRAINING

We train managers and supervisors to understand employee engagement and survey results and prepare them to conduct meetings with their employees on these topics.
